About the Role:  

 

The Administration Associate is responsible for providing high-quality concierge and secretariat services, ensuring smooth day-to-day operations and professional representation of the company to external and internal stakeholders.

 


What Will You Need to Do:   


  • Provide essential assistance to ensure the smooth and efficient operation of company’s call center
  • Create information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics
  • Maintain appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel
  • Welcome guests and customers by greeting them, in person or on the telephone; answering or directing inquiries
  • Maintain customer confidence and protects operations by keeping information confidential
  • Prepare reports by collecting and analyzing information
  • Provide historical reference by developing and utilizing filing and retrieval systems;
  • Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies

 

 

What Will You Bring:


  • Bachelor’s degree in Business Administration, Office Management, or a related discipline is preferred
  • 2-5 years of relevant experience in administrative, secretarial, or office management roles, ideally within a corporate or client-facing setting
  • Proven ability to manage multiple tasks, prioritize effectively, and handle time efficiently
  • Demonstrated accuracy and thoroughness in handling tasks such as document preparation, scheduling, and report generation
  • A proactive and adaptable approach to resolving issues and managing unexpected situations
  • Experience in handling sensitive and confidential information with professionalism and discretion
  • Competence in using the Microsoft Office suite (including Word, Excel, PowerPoint, and Outlook)
  • Strong proficiency in both written and spoken English
