Position scope
Reporting to the President of the Institution, the Executive Administrative Assistant will manage the Office of the President and provide administrative assistance to the Chief Operations Officer.
Duties and responsibilities:
- Serves as point of contact and liaison between the President and the President’s Leadership Team as well as other staff as needed;
- Serves as point of contact and liaison between the President and the Board of Trustees in coordination with the Office of Institutional Advancement;
- Coordinates communication with Ministries , Municipalities and other institutions as needed;
- Coordinates internal and external meetings and appointments, prepares agendas, books and sets up meeting rooms, takes minutes, when necessary;
- Provides general administrative assistant duties, including the handling of correspondence, answering telephone calls, preparing documents in English and Greek, maintaining documents’ archive;
- Prepares/coordinates the preparation of various reports and presentations; and
- Coordinates events and meetings organized by the Office of the President.
Required qualifications and skills:
- Certification in secretarial / administration studies or related field (e.g. B.A in Business Administration or English/Greek Literature)
- At least 3 years of experience in a similar position, preferably in an educational environment
- Excellent oral and written communication skills in Greek and English (native speaker and writing skills of both languages required)
- Proficiency in the use of the Microsoft Office suite, Google web applications and design tools such as canva. Readiness to use AI powered productivity tools
- Ability to record and transcribe minutes of meetings
- Capacity to maintain the confidentiality of all transactions and communications
- Ability to respond verbally or in writing to all constituents in a polite, sensate and competent manner
- Ability to understand and prioritize by assessing situations to determine urgency
- Ability to keep track of and meet deadlines
