We’re looking for :


We are seeking a hands-on, highly organized Head of Operations to own and scale the operational backbone of Billys. Reporting to the CEO, you will lead our Customer Success, Onboarding, Extra Services, and Building Management functions, along with strategic operational projects for key partners. You’ll keep customers happy, buildings running, suppliers coordinated, and payments flowing — while building the processes and team to let it all scale.


This is a broad, high-ownership role at the heart of the company. You’ll inherit a well-established function with a small team already in place, and you’ll be trusted to run it, improve it, and grow it. If you’re equally comfortable resolving a tough customer situation, negotiating with a supplier, tightening a messy process, and reporting to leadership, this role is for you.


What you’ll do :



  • Lead Customer Success & Support: Own the customer experience across our building packages. Act as the senior escalation point for sensitive situations, coach the team on tone and messaging, and keep retention high.

  • Own Onboarding: Ensure new buildings are onboarded onto the platform quickly and correctly, and continuously improve the process as we scale.

  • Run Building Management: Oversee our assistant-building-manager service — issuing and collecting common expenses online, paying suppliers and utilities, overseeing cleaning and maintenance, coordinating heating supply, organizing General Assemblies and online votes, managing building bank accounts, and coordinating legal collection of overdue payments. Clearly govern Billys’ role and non-liability as assistant to the manager.

  • Grow Extra Services: Manage supplier and partner relationships (insurance, cleaning, pest control, fire extinguishers, maintenance) and the offer pipeline to buildings, ensuring offers flow through Billys and expanding this revenue line.

  • Deliver strategic partner projects: Own bespoke operational projects run for key partners — high-volume, detail-intensive reconciliation and payments work — managing the dedicated team on them and productizing these models.

  • Build processes & scale the team: Turn ad-hoc work into repeatable, documented processes. Manage, mentor, and grow the operations team, and hire as the function scales.

  • Be the voice of the customer into Product & Tech: Work closely and regularly with the Product and Tech teams — a core part of the role — gathering customer feedback and translating it into clear feature requests and bug reports, and partnering on priorities.

  • Own operational metrics: Track and report the KPIs that matter, and drive the operational side of our growth.

  • Work cross-functionally: Partner with Sales, Finance/Legal, and leadership on positioning, pricing, authorizations, collections, and supplier contracts.


You have :



  • 5+ years in operations, customer success, account management, or a related field, with at least 2 years in a leadership role.

  • A hands-on operator’s mindset — comfortable owning the details and executing, not just delegating.

  • A proven ability to build and improve processes and bring order to complex, high-volume work.

  • Strong people-management skills — you can lead, coach, and grow a small team, and stay calm with difficult customers and partners.

  • Excellent communication in both Greek and English (Greek fluency required for customer- and supplier-facing work).

  • Strong analytical skills — comfortable with spreadsheets, KPIs, and data-driven decisions.

  • Comfort working closely with Product and Tech teams, channeling customer feedback into product improvements.

  • Comfort with operational and financial workflows: invoicing, collections, payments, and supplier negotiation.

  • A structured, ownership-driven approach and the flexibility to thrive in a fast-moving startup.

  • BSc/MSc in Business, Management, or a relevant field (or equivalent experience).


Nice to have :



  • Experience in property management, facility management, proptech, or real estate (Highly Appreciated).

  • Familiarity with building/HOA management and Greek κοινόχρηστα processes.

  • Experience with Intercom (Highly Appreciated).

  • Experience automating processes with AI (Highly Appreciated).

  • Experience with CRM platforms (e.g. Pipedrive) and payment tools (e.g. Viva Wallet).

  • Experience in high-growth startups or tech companies.

  • Experience managing supplier/partner networks and negotiating commercial terms.
