Role Purpose

IID S.A., one of the leading companies in the fields of digitization, document management, and software development in Greece, is expanding its service portfolio to include physical records storage, archive management, and document retrieval services.

We are seeking an experienced Warehouse & Archive Operations Manager to lead the design, implementation, and operation of this new business function. The successful candidate will play a key role in establishing the warehouse infrastructure, defining operational processes, supporting facility selection, and developing a scalable archive storage and retrieval operation that delivers exceptional service to our clients.

This is a unique opportunity to build a new operational function from the ground up while contributing to the strategic growth of the organization.

Key Responsibilities

Business Setup & Operational Development

• Participate in the identification, evaluation, and selection of suitable warehouse facilities.


• Design warehouse layouts, storage systems, and operational workflows.


• Develop and implement procedures for the receipt, storage, indexing, retrieval, transportation, and return of physical records.


• Contribute to the development of the overall operating model for archive storage and records management services.


• Establish operational KPIs, quality standards, and performance monitoring mechanisms.


• Support business planning and capacity forecasting activities.

Warehouse Operations Management

• Oversee the day-to-day warehouse and archive operations.


• Ensure accurate storage, tracking, and handling of physical records and archive materials.


• Optimize warehouse capacity, storage utilization, and operational efficiency.


• Maintain inventory accuracy and full traceability of archived records.


• Ensure compliance with health & safety standards, security requirements, and company procedures.

Records Retrieval & Logistics Management

• Design and manage archive retrieval and delivery processes.


• Coordinate transportation activities and document delivery schedules.


• Support the future development and management of the company vehicle fleet.


• Ensure adherence to agreed service levels (SLAs) and customer requirements.


• Monitor operational performance and implement continuous improvement initiatives.

Leadership & Team Development

• Recruit, train, and develop warehouse and archive operations personnel.


• Lead, coach, and evaluate team performance.


• Foster a culture of accountability, operational excellence, and customer service.


• Ensure appropriate staffing levels and workforce planning.

Required Qualifications

• Bachelor's degree in Supply Chain Management, Logistics, Business Administration, Operations Management, or a related field.


• Minimum of 7 years of experience in warehouse, logistics, or operations management roles.


• Proven experience in warehouse setup, operational redesign, or greenfield operations projects.


• Experience managing teams and operational performance.


• Strong understanding of warehouse management principles and inventory control processes.


• Experience with Warehouse Management Systems (WMS) and operational reporting.


• Strong analytical and problem-solving skills.


• Advanced MS Excel skills.


• Excellent command of the English language.

Preferred Qualifications

• Experience in records management, archive storage, document management, or information governance environments.


• Familiarity with GDPR requirements and confidential document handling procedures.


• Experience in transportation planning and logistics operations.


• Professional certifications in Supply Chain Management, Logistics, Lean Operations, or Project Management.
