Role Description

This is a full-time on-site role for an Administrative Assistant, based in Athens. The Administrative Assistant will handle daily office tasks such as scheduling appointments, managing correspondence, and providing executive administrative support.

Requirements

  • Oversee executive calendars, coordinate meetings, and ensure all appointments are well organized.
  • Prepare and format documents, reports, and presentations to a high standard.
  • Serve as the primary point of contact for incoming calls and emails, routing inquiries promptly and professionally.
  • Manage end-to-end travel arrangements, including flights, accommodation, and detailed itineraries.
  • Monitor office supplies and coordinate procurement needs as required.
  • Support the planning and execution of internal meetings, corporate events, and company functions from start to finish.
  • Support HR processes and assist with the onboarding of new employees.
  • Handle confidential company and personnel information with the highest level of discretion and integrity.
  • Perform day-to-day administrative tasks including data entry, scanning, and copying to keep operations running smoothly.

Qualifications

  • Bachelor’s degree in Business Administration, Office Management, or a related field is preferred.
  • Proven work experience of 2+ years as an Administrative Officer, Administrative Assistant, Executive Assistant or similar role is desirable.
  • Proficiency in Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
  • Excellent knowledge of Greek and English language (written and oral).
  • Demonstrates ability to resolve problems timely and effectively.
  • Excellent organizational skills and strong attention to detail.
  • Ability to work effectively in a fast-paced and team-oriented environment.
  • Creative mindset and willingness to learn.
