About the Role
In this role, you will effectively manage and coordinate suppliers on site to ensure that exemplary customer service is provided to both the client and internal customers. You will serve as the first point of contact for all local stakeholders of client regarding all Facility Management requests and issues. You will have daily contact with client employees to ensure Service Level Agreements are met. Your goal will be to deliver excellent customer service that exceeds the client’s expectations. Additionally, you will uphold the professional image and reputation of Macro and the client in all interactions with clients, suppliers, and internal staff.
Main Job Responsibilities will include:
- Follow up on requests.
- Build relationships with local clients to understand and anticipate on their needs pro-actively and effectively.
- Ensure that any client or customer concerns or complaints are dealt with effectively and communicated accordingly.
- Proactively identify improvements on site by performing site tours focused on Health, Safety, sustainability, and Facility Services.
- Maintain customer satisfaction at the highest level by providing a high quality and proactive service.
- Ensure reception and conference rooms are always clean, tidy, fully equipped and ready for use.
- Assist with booking taxis and any other reasonable requests.
- Manage meeting room bookings & set up.
- Manage supplier follow-up with regular catch-ups and quality inspections.
- Ensure all preventive and reactive maintenance is completed on time.
- Distribute mail picked up from the mailroom.
- Ensure coffee machines are stocked properly (including tea, sugar, etc.)
- Order and hand-out mobile phones, including SIM cards.
- Occasionally support employees with the return of their lease cars according to the checklist.
- Ensure personal presentation and grooming are of high standard.
- Support Client with new hire induction, arranging access cards, locker access etc.
General responsibilities
- Adhere to and promote Macro’s organisational values .
- Effectively and accurately communicate relevant information.
- Liaise with the supply chain, including Maintenance, Cleaning and Vending, to ensure the overall service is timely and seamless.
- Conduct regular checks and inspections to ensure supply chain delivery and Health and & Safety compliance.
- Identify new opportunities to improve process, service levels, and standards.
- Perform other reasonable tasks and duties requested by line management and Client FM team.
About You
The ideal candidate will have:
- Previous experience as a receptionist or Personal Assistant, in a corporate environment would be an advantage.
- Fluent written and spoken English at proficiency level.
- Qualifications in related subject or equivalent knowledge/experience preferred.
- A proactive and service minded attitude
