Overall Purpose of The Job

The senior travel desk vessel coordinator ensures leadership, workforce and escalation management of travel desk vessel coordinators in providing timely and cost-effective crew change planning and execution aligned to standards of company, client and international requirements and regulations. Champion the use of key technology, tools and crewing expertise to provide best in class crew change service to V. and its customers.

Key Responsibilities And Tasks

• Own operational management of crew change planning, execution and cost controlling by effective workforce management of travel desk vessel coordinators supporting all SMO offices w/in V.
• Ensure that travel desk vessel coordinators maintain crew change planning, cost management and travel arrangements in alignment of internal and external stakeholder’s standards and policies.
• Ensure that crew change planning is executed by travel desk vessel coordinators in advance to meet operational and budgetary requirements.
• Drive crew change compliance aligned to VMS requirements and set KPI’s.
• Act as subject matter experts (SME) in the organisation for crew change planning, execution and budget controlling.
• Allocate and re-distribute workload, assignments, and tasks to facilitate workforce demands, urgent and adhoc crew change arrangements.
• Manages and resolves L1/L2 issues and escalations relating to crew change plans, execution and budget controlling.
• Manages multiple stakeholders and cooperates closely with the team members from other teams within the function.
• Lead and develop competencies of travel desk vessel coordinators.
• Lead and support travel desk vessel coordinators in establishing effective communication/coordination with various stakeholders, vendors, and partners such as but not limited to fleet cells, CMPs, Vessel, Port Agents, Mobilisation and Planning teams, etc.
• Drive and motivate travel desk vessel coordinators in the delivery of key strategic objectives and performance matrices.
• Monitor service delivery performance vs key performance indicators.
• Establish, capture, and sustain a robust data reporting on key performance indicators, client reporting requirements, management reporting.
• Ensure that travel desk vessel coordinators timely and accurately maintain digital usage of ShipSure.
• Provides feedback on further development opportunities for ShipSure and other relevant crew change processes.
• Acts as a backup for other Senior Travel Desk Vessel Coordinators w/in the team
• Other tasks that may be assigned by the line manager as needed by operations.

Essential

• 4 - 5 years of relevant experience working in the crewing department of a marine management company with multinational crew in a supervisory capacity.
• Must possess a Bachelor’s/College Degree from any field with relevant experience.
• Strong experience in port operation planning on shipping lines and/or logistics company.
• Strong decision-making skills.
