We currently have an opportunity for a Sales Support Assistant to join our Life Sciences Team, South Europe. The Sales Support Assistant will primarily be responsible for providing operations and sales support for the business as well as supporting the Regional Division Manager Region South and MEA and a team of 12 field-based Sales people in Italy, Iberia, Greece and Turkey.

Based: Ecolab Greece office

Reports to: Regional Division Manager, Region South

Responsibilities

General Sales & Operations support:

  • New account set up, Customer Excel Database: Inserting, maintaining, updating excel customers lists, maintain spot and massive Customer Miniterritory changes
  • Handling of all the Complaints with Quality and the Distributors of Contamination Control.
  • Field general customer enquiries
  • Pricing communication and quotations; maintain pricing files. Request to EMEA Pricing team to record new conditions and/or update/deactivate existing ones. Management of Periodic Price Increases: preparation and despatch of each individual offer for direct customers and distributors (about 450 customers)
  • Management of 16 distributors: distributors' requests for any type of information: products, technical data, CoA requests, documentation discrepancies etc. Management of monthly rebate requests by the Distributors in liason with the Finance team.
  • Supply Chain: Forecast Consensus for Direct Business, Forecast from Distributors, Back Orders
  • Support customer communication on new / delisted products , product queries and deliveries
  • Process tender documents and support
  • Equipment proposals & tracking
  • Support customer communication on new / delisted products , product queries and deliveries
  • Follow up on certificate requests, SDS, Tech files, Tech queries (fed into Technical Services group)
  • Process customer questionnaire, Confidentiality Agreement requests
  • Fulfil team and customer requests for sales literature, technical files etc
  • Maintain customer records
  • Customers platforms: Ariba and other platforms in Italy and Spain

Team Support

  • Dynamics updates when territories are amended.
  • Management of company announcements including quality notification for customers and product updates.
  • Forecasting support
  • Assistance with yearly planning process
  • Input into business systems
  • Maintain team safety & training records
  • Assistance with development of customer presentations
  • AM onboarding and introduction to processes / systems / products
  • Fulfill sample order requests
  • Additional workload with Bioquell: Collection discrepancies, local CS support
  • Greece administrative management in another ERP
  • Purchasing from Suppliers of Sales Materials/Services in SAP
  • Booking and Organization of QA AUDITs upon customer requests in liason with the QA Manager and the Sales team

General Admin

  • Establishing / updating customer lists and master data in EBS system.
  • Maintain an efficient filing system both manual and electronic for the whole team
  • Maintain territory lists up to date
  • Sales and margin analysis as needed.
  • Booking and organization of team meetings
  • Booking of events and preparation of materials for conference/meetings/events as required
  • Undertake any other duties required in the area of responsibility.

Requirements

  • Excellent academic (school / further education) results
  • Preferred qualification in Business Administration
  • Strong IT skills, including Microsoft Office and Excel
  • Strong ability to multi-task and prioritize work. Excellent planning & organizational skills
  • Exceptional interpersonal, communication, and presentation skills
  • Previous experience in a sales support function
  • Awareness of chemical sales and / or manufacturing organizations
  • Ability to take initiative, work independently and prioritize multiple projects with strong follow-through and organizational skills
  • Fluency in English as well as Italian or Greek mother-tongue. Knowledge of other languages as Spanish or Portuguese is an asset.
