Role Purpose And Key Responsibilities

| Role Purpose

The overall objective of the role is to support the managing of facilities operations, for the provision of a safe and secure working environment for employees and office operations for the provision of a welcoming working environment.

| Key Responsibilities

• Supervising all facility requirements for Athens’ site
• Supports Office & Procurement Manager with Supplier Management (Bidding Process, Claims Management, Suppliers Development, Compliance Approvals). Operational Responsibilities: Ensuring that all contracted services are carried out and that renewals are addressed in a timely manner. Contract services include but aren’t limited to security, fire and alarm services, cleaning, waste management, pest control, building maintenance (HVAC & Electrical)
• Supports Office & Procurement Manager in drafting policies and procedures when required
• Facilities helpdesk management through JIRA
• Workplace occupancy management
• Supervising and co-coordinating of works of maintenance contractors.
• Supports the implementation of procedures and processes to ensure that all necessary documentation is produced accurately and compliant with ISO standards
• Working closely with external collaborator in H&S – First aiders and Fire marshal training, DSE assessments, energy audit
• Respond appropriately to emergencies or urgent issues as they arise
• Supervising the reception area to run professionally (Guestbook, security officer, postage, etc, working in close collaboration with the receptionist)
• Effectively coordinate the building badge and security access
• Manage meeting room bookings, set-up of rooms and provision of materials including catering and refreshments, order front office supplies and keep an inventory of stock
• Responsible for the Induction of Joiners in Office/Facilities: Conduct Induction Presentation, arrange photo shooting for updating the staff list, welcome pack/ debut day.
